Scheduling Field Definitions

The following tables describe the data sources under Scheduling. They list the fields available and provide a brief description of contents. They include:


Enterprise Schedule and Shifts

You can report on data regarding Enterprise shifts. Reports gather information from the following sources.

  • Employee information is specified in the Add or Edit Employee window.

  • Location information is specified in the Add or Edit Location window. In addition, once you establish a location, you set up Location settings, Employee portal and swapping privileges, autofill and break settings, and time settings.

  • Scheduling information is specified in the Add or Edit Shift window in Schedules in the Location portal or from Templates in either portal.

Note: An Enterprise shift acts as a template until it is deployed to a location. Once deployed, it is linked to the location's shifts. Location-based information in the report will be blank if the shift is not deployed.

AssignAssigns shifts to employees
Auto FillAutomatically assigns shifts to employees based on your parameters
Auto Fill CustomAutomatically assigns employees based on your custom set up (different than regular auto fill setup)

Break End

Break end time with day mm/dd/yyyy and time in AM or PM.

Break Hours

Total time of breaks in the shift.

Break Start

Break start time with day mm/dd/yyyy and time in AM or PM.

Clear AssignmentsUnassigns employees from an assignment
Clear BreaksRemoves breaks from shifts
ComplianceShows if your schedule is meeting your locations shift and schedule needs
CopyCopies a shift
CoverageWhat your schedule's hourly coverage looks like and if it is in compliance
Create BreaksAdds breaks to a shift

Crew

Which crew the shift is assigned to.

Date

Date of the shift.

Date End

Date shift ends

Date Start

Date shift begins

Day

Day of the week the shift occurs

Delete

Removes a shift

EditEdit a shift

Employee

Name of employee assigned to a shift

EventWhat was changed in the schedule

External Id

Employee ID for use with an external system, such as HR or Payroll.

Filter

Conditions changing and rearranging the information you see in your schedule and shift chart

Group

 Name of group shift is assigned to

Hours

Total hours of the shift. (ShiftEnd – ShiftStart) – BreakHours.

Inactive

Flags that the shift has been made inactive and no longer a valid shift; Displays -1 if True (shift is inactive) or 0 if False (shift is active).

Published

 Whether or not a schedule is published and abl to be viewed by employees (schedule can still be changed after this)

ReactivateRestores an inactive shift so it can be filled and worked.
Show AllShows all schedules instead of just the current and future ones.

Station

Name of Station.

Status

 Whether of not a schedule has been published and/or approved

Summary

Notes for changes made to a schedule

Swap/Bid

 Places a shift on the swap/bid board

Switch Assignments

 Swaps the employees assigned to two shifts.

Templates

 A standard shift setup that can be imported into a schedule.

Time Stamp

 The time and date a change to the schedule was made.

Tools

 List of actions used to create and modify shifts.

TotalsTotal shifts on a schedule per day and location.

User

Employee’s username (same as EmployeeNum).

Special Day

Special Days are specified in the Enterprise portal under Organization > Lists > Special Days. You first create special day types and then use them when creating special days for scheduling purposes.

 

Field

Description of contents

AddCreate a new special day.

Calendar

 Which type of calendar entry the special day is.

Color

Color code for the special day's style.

Date

Date or date range of the special day(s).

Description

Start date of special day date range.

Delete

Delete a special day.

Name

Name of the special day.

Settings

The type of special day and color.

Type

The kind of special day.


Template

Templates can be created and maintained in both the Enterprise portal or the Location portal.

Field

Description of contents

Break End

Break end time. (Date portion will be 01/01/1900).

Break HoursTotal amount of break time for the shift.

Break Start

Break start time. (Date portion will be 01/01/1900).

Crew

Name employee’s crew assignment.

DayWhich day of the week the shift is assigned to 

Employee

Employee’s full name. Displayed as “Last, First”.

EnterpriseWhether or not the template is location-specific or for the enterprise

Hours

Total hours of the shift. (ShiftEnd – ShiftStart) – BreakHours.

A comment added to shift.

Shift End

End time of shift in AM or PM (shows fixed default date of 1/1/1900).

Shift Group

Name of shift group the shift has been assigned.

Shift Start

Start time of shift in AM or PM (shows fixed default date of 1/1/1900).

ShiftsTotal number of shifts in the template

Station

Name of Station.

Template End DateDate the template ends
Template GroupGroup the template is assigned to

Template Name

Name of the template.

Template Start DateDate the template starts
